Privacy policy

Last updated: 17 oct 2026

The VIP Hub, operating as The VIP Hub ("The VIP Hub," "we," "us" or "our"), is a business based in Ontario, Canada. This policy explains how we collect, use, share and protect personal information when you visit theviphub.ca, use The VIP Hub platform at app.theviphub.ca, join our email list, buy from us, or talk with us.

We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). By using our websites or platform, you agree to this policy. If you don't agree, please don't use them.

1. Whose information this policy covers

This policy covers personal information about you: our website visitors, email subscribers, prospects, members and clients, and anyone who contacts us.

It does not cover your Contacts' information. If you're a member, you use the platform to store and message your own leads, clients and audience. You decide what to collect about them and why, so your own privacy policy applies to them, not this one. We only handle that information on your behalf, to run the platform and provide support, as described in our Terms of Service.

If you're one of our members' contacts and want to access or delete your information, please contact that business directly. If you contact us, we'll pass your request on to them.

2. What we collect

Information you give us

  • Contact details: name, email, phone number, business name and website.

  • Account details: login email, password (stored encrypted), team members you add, and your settings.

  • Billing details: billing name and address and purchase history. Card numbers are handled by our payment processor; we don't see or store full card numbers.

  • Support and project information: what you tell us on calls, in live chat, by email, or in intake forms, plus files you send us (logos, copy, images, logins you choose to share for setupInformation you give us).

  • Bookings and calls: appointment details and, if we record a call, the recording (we'll always tell you first).

  • Community and feedback: survey answers, testimonials you agree to share, and posts in our community spaces.

Information collected automatically

When you visit our websites or use the platform, we and our providers collect technical information such as your IP address, browser and device type, pages viewed, links clicked, login times, and whether you opened our emails. Some of this comes from cookies and similar tools (see Section 9).

Information from others

We may receive information about you from payment processors (to confirm payment), apps you connect to the platform (like your calendar, video or social accounts), collaboration partners when you sign up through a joint offer, bundle, summit or podcast and agree to hear from us, and referral partners who send you our way.

3. Children and Child's Play accounts

Our websites and platform are for adults running businesses. We don't knowingly collect personal information from children, with one exception.

At a parent's or legal guardian's request, we create Child's Play learning accounts so their children can learn to build inside the platform, under the parent's supervision. For these accounts:

  • the parent or guardian is the account holder and gives consent on the child's behalf;

  • we collect only what's needed to set up the login (such as a first name), and nothing more;

  • we don't use the child's information for marketing, and we don't share it except with the providers that host the platform; and

  • the parent can ask us to see, correct or delete the child's information at any time, and we'll delete it when the account closes.

If you think a child has given us personal information without a parent's consent, contact us and we'll delete it.

4. How we use your information

We use personal information only for purposes a reasonable person would expect, and only as much as we need:

  • To run your account: set up and provide the platform, process payments, and send receipts, renewal reminders and account notices.

  • To support you: answer questions, run office hours and 1:1 calls, and build what you've asked us to build.

  • To keep things safe: prevent fraud, spam and abuse, protect email deliverability for all members, and secure the platform.

  • To improve: understand how our websites and platform are used, fix problems, and plan new features and training.

  • To communicate: send newsletters, training, offers and updates, where you've agreed to receive them.

  • To meet legal duties: keep tax and accounting records, respond to lawful requests, and enforce our Terms.

We don't sell your personal information, and we don't use it for anything unrelated to these purposes without asking you first.

Consent. We rely on your consent to collect and use your information, which you give when you sign up, buy, book or contact us, or which is implied by your relationship with us. You can withdraw consent at any time (see Section 7). If you do, some services may no longer be available to you.

Marketing emails. We send marketing emails only in line with Canada's Anti-Spam Legislation (CASL): with your express consent, or implied consent where the law allows (for example, after a purchase). Every marketing email includes our contact information and an unsubscribe link, and we honour unsubscribes within 10 business days. You'll still receive account, billing and service messages while you're a member.

AI tools. Some platform and support features use third-party AI providers. When they do, information is used only to deliver that feature to you. We don't permit our providers to use your personal information to train general public AI models.

5. Who we share it with

We share personal information only with the service providers that help us run The VIP Hub, and only what each one needs to do its job. They're bound by contracts or terms that require them to protect it and use it only for the services they provide to us.

Email delivery: Mailgun

Text and phone carriers: Lead Carrier

Payment processors: Stripe

Calendar and video: Google Calendar & Zoom

We may also share information:

  • if our business is sold or merged, with the buyer, who must protect your information under this policy; and

  • with your permission, in any otheWe may also share information:r case.

Text messaging. We never sell or share your mobile number, text-message opt-in, or consent with third parties for their marketing. We share it only with the carriers and messaging providers needed to deliver the messages.

6. Where it's stored, how we protect it, and how long we keep it

Outside Canada. Most of our service providers are based outside Canada, mainly in the United States, and some use teams or servers in other countries. Your information may be stored and processed there. While it's outside Canada, it's subject to the laws of those countries and may be accessed by their courts, law enforcement and national security authorities.

Security. We use reasonable safeguards for the sensitivity of the information, including encrypted connections, access limited to people who need it, two-factor authentication on our own accounts, and providers with strong security practices. No system is 100% secure, so please use a strong password, turn on two-factor authentication, and tell us right away if you think your account has been compromised.

If something goes wrong. If a breach of our safeguards creates a real risk of significant harm to you, we'll notify you and the Office of the Privacy Commissioner of Canada as soon as possible, as PIPEDA requires, and tell you what you can do to protect yourself. We keep a record of every breach for at least 24 months.

How long we keep it. We keep personal information only as long as we need it for the purposes in this policy:

  • Platform account data: While you're a member, plus up to 90 days after you cancel so you can reactivate, then deleted

  • Billing and tax records: 6 years, as Canadian tax law requires

  • Email list subscriptions: Until you unsubscribe; then only what's needed to honour the unsubscribe

  • Support emails, chats and call recordings: 2 Years

  • Child's Play account data: Until the parent asks us to delete it or the account closes

We may keep information longer if there's a complaint or legal dispute, or turn it into anonymous statistics that no longer identify you.

7. Your rights and choices

Under PIPEDA, you can:

  • access the personal information we hold about you and learn how we've used and shared it;

  • correct information that's wrong or incomplete;

  • withdraw consent to how we use your information, subject to legal or contract limits (for example, we can't run your account without your email address);

  • ask us to delete your information when we no longer need it; and

  • complain to us, and if you're not satisfied, to the Office of the Privacy Commissioner of Canada.

Quebec residents also have rights under Quebec's privacy law, including to have information transferred to you in a usable format, and to ask that information no longer be shared or used in certain ways.

If you're in Europe or the U.K., you may have additional rights under the GDPR, including to object to or restrict how we use your information.

Unsubscribing from marketing emails takes one click, using the link at the bottom of any email.

How to make a request. Email our Privacy Officer at [privacy email]. We may ask you to confirm your identity before we act. We'll respond within 30 days, or let you know if we need more time, as the law allows. Requests are free. If we can't fully meet a request, we'll explain why.

8. Links to other websites

Our websites, blog and emails link to other sites and tools, including our collaboration partners. Their privacy practices are their own, and this policy doesn't cover them. Please read their policies before sharing information with t8. Links to other websiteshem.
